I'm a pretty picky eater, so some of the things I've seen others get at their tastings I'm like, eh... but everything on your list = :love:

I think I need a cereal milkshake.
 
Got back from our whirlwind trip to Florida for our Planning Session late on Tuesday night. We had a blast and we absolutely adore our planner! Hoping to do a full recap sometime between now and the end of the weekend, so stay tuned!
 


Whirlwind Planning Session Trip Report

Saturday/Sunday


We arrived to the airport early for our red-eye flight, checked our bag, and got through security quickly and painlessly. Both of our United credit cards offer us entry to the United Clubs, so we went and checked in at one of the clubs near our gate and hung out for awhile, had a beverage, charged our phones, etc. The snack selection wasn’t really doing it for the hubby, so we packed up and walked around until we decided on a place to get some real dinner. We decided on one of the food court areas, where he chose a custom burger with sweet potato fries on the side, while I had breakfast (2 eggs sunnyside up, bacon, home fries, and sourdough toast). Both meals were above average for airport fare and hit the spot. Sorry, didn’t take any pictures.


By the time we were done eating, it was time to go get in line to board the plane! We were in Group 1 as we had received complimentary upgrades to first class for both legs of our flight!! After a bit of a delay, we were boarded and had our pre-flight beverages in hand. Not too much longer we were airborne headed to Chicago where we would catch our flight to Orlando. It was an uneventful flight, but I sadly didn’t get much sleep, even though it was well past my bedtime.

We landed in Chicago, deplaned, and headed straight for the United Club, which had just opened for the day. We had never flown through Chicago before, but it seemed to be a pretty easy airport to navigate. I’m sure it helped that we didn’t have to go very far between gates. We found ourselves a table and grabbed some light breakfast items (since we knew we would be getting a hot breakfast on the second leg of the flight). While we ate, hubby putzed on his phone and I hopped on to MDE to book ADRs for one of my clients. Soon it was time to board the plane to Orlando, no delays this time. It was another uneventful flight and we enjoyed our hot breakfast and some more dozing.

Once we landed at MCO, we headed straight down to the Magical Express area to get added to a bus, since we completely spaced on booking it ahead of time. Within 5 minutes we were waiting in the queue for the bus to Old Key West!

Our room wasn’t ready yet (it was only about 11:30am at this point), so we checked my carry on with bell services and hopped on a boat to Disney Springs. Our first stop was the store in the Marketplace that sells all the Disney/Once Upon A Time wines to pick up a bottle of the Fairy Tale Cuvee so that we could chill it and taste it prior to our PS so we would know whether we wanted it at our reception or not. (Of course we later discovered that they sold it already chilled in the gift shop at our resort, lol!) We poked around a few more stores, walked through the new Town Center area, and ended up at Sprinkles because there was virtually no line! Score! We wanted to grab a few different minis to share/try and I had my eye on one of their cookies. Unfortunately, none of the flavors we wanted were available as minis, so we chose 2 regular sized cupcakes and the cookies. With our purchases in hand, we then walked over to Cooke’s of Dublin to grab some lunch.

Cooke’s a pretty much a must do on all of our trips to the World for 2 reasons. 1) battered, deep-fried burger (hubby LOVES this thing), and 2) Irish vintage cheddar bacon dip (we generally have to each get our own or someone might lose a finger if we try to share ;P ). I like to change things up (and I am also on a new meal plan, so I was trying to eat as close to it as I could while not being able to grocery shop/cook for myself) so I decided to order their Hog in a Box, which had caught my attention on a previous trip, and hubby ordered his burger, fries, and dip. The Hog in a Box was not exactly what I was expecting, but it was delicious and a ton of food! I will definitely order it again. As you can see below, it actually comes in a box as the name indicates. Slow cooked pork shoulder (moist and flavorful), lots of onions cooked until they are nice and sweet, some kind of cornbread stuffing, roasted small potatoes, and gravy over the top. The only thing I didn’t care for was the chicharron as a garnish, but I’ve never really cared for them, so that was no big surprise. Hubby’s meal was spot on delicious as usual (and he kindly shared some of the dip with me so that I could still have a taste without consuming an entire bowl by myself <3).

Once we were done with our lunch it was time to try our desserts from Sprinkles. We purchased a chocolate marshmallow cupcake, a salty caramel cupcake, and a salted oatmeal cornflake cookie.

The chocolate was super rich, not very sweet, and overpowering. If the marshmallow had any flavor, it was lost to the chocolate. Texture on the cake and marshmallow were both good.

The salty caramel was very tasty! Most of the flavor was in the frosting though. The cake was moist and baked well, but the flavor was more subtle than expected. Those little disc things on top don’t really have a flavor and are HARD! I wasn’t expecting them to be so hard and it hurt my teeth.

At this point we were both pretty tired so we took a boat back to the resort, even though we had not yet received a text to say that our room was ready. Once we got there, I went to the front desk to check on the status of things, and the CM I dealt with was not very helpful at all. Check-in time isn’t until 4pm at DVC properties and it was probably around 2:30-2:45, so we knew we were early. However, this CM had me scan my MagicBand, told me they were still cleaning my room and that we would get a text when it was ready. He didn’t offer any kind of time estimate, didn’t offer to see if there were any other rooms available for check-in, etc. After about 10 more minutes of sitting out in the heat (the lobby was full of other people also waiting for their rooms to be ready), I went back in and spoke to a different CM who found me a room that was ready, but didn’t match our room requests (it was on the ground floor rather than an upper floor). I told him that was fine and 10 minutes later we were in our room, yay! I was a little surprised that the system had not given us this room to begin with, since I clicked the option to throw my room requests out the window in favor of an early check-in if it was available.

After a much needed nap, we headed over to Epcot and wandered the World Showcase for a bit. Tropical Depression Colin was going on while we were there, which meant much lighter crowds than we are used to/expected, so we were able to finally go in and try some treats from the Karammel-Kuche in Germany. We picked up a caramel with dark chocolate & sea salt, a blood orange caramel, and a German chocolate chip cookie with pecans that had caramel drizzled on top. The dark chocolate sea salt caramel was delicious and I would definitely order that again. I was hoping to make it last for a couple of days, but hubby wanted to finish it off. The cookie was only so-so. I was expecting a soft cookie, which it was not, and the flavors were not as pronounced as I was expecting. The blood orange caramel was nice, but one or two bites was really all I needed. Neither the blood orange caramel or cookie were finished and we ended up throwing them out on check out day. I’m glad we got to try it, but I’ll likely stick to School Bread or something from Les Halles in the future.


It was almost time for our dinner reservation at Beaches & Cream, so we exited the International Gateway and enjoyed a nice, leisurely walk over the B&C. We checked in and were seated within 10 minutes. I had been considering trying something different from our last visit here, but we ended up ordering the exact same meal as last time: Grilled Cheese sandwich with Tomato Bisque x 2 and a No Way Jose to share for dessert. Everything was tasty again, though I think I will try the turkey sandwich on challah next time we make it over there. Once we were done stuffing ourselves silly we headed back to the resort to get some shut eye before our Planning Session day!!!

A No Way Jose... one of my favorite Disney foods! :hyper: Thanks for sharing some pictures of the Sprinkles cupcakes. I'm looking forward to trying one next trip!

Did you like OKW? We're adding on a day to our trip in December and that's one of the places we're thinking of staying. I've stayed there before but it was when I was a kid. My MIL will be with us so a 1BR would be ideal, but it's nice that your studio looks like it had two regular beds.

Can't wait to hear about your planning session!

We would definitely stay at OKW again. They are spread out (not as much as Saratoga Springs, but more like that than not), but the buses seemed to operate pretty regularly and the property was easy enough to navigate. I can give you suggestions on which section to request if you end up booking there, if you'd like! What days will you be out? Michael mentioned that you were coming out in December again, so I'd love to try and meet up this time since last year didn't work out. I figure I can always invite you and Josh to our events if our numbers drop too low. ;)

your studio looks like it had two regular beds.

I believe OKW is the only DVC property whose studios have 2 queen beds rather than 1 queen bed and a pull-out couch & coffee table and I want to say they are also the biggest studios square footage wise as well.
 
Monday – Planning Session


We got up earlier than either of us really wanted so that we would have time to go to the gym and workout before getting ready and heading out for the day. Originally we had talked about just grabbing something from the quick service on property for breakfast, but the hubby suggested waiting til we got over to the MK area and maybe hitting up Captain Cook’s instead. Spoiler alert: that didn’t work out thanks to Disney transportation (we really didn’t want to pay for a taxi if we could help it, and we left PLENTY early to accomplish breakfast and arriving on time), so we arrived late to our PS with nothing but post-workout protein shakes in our bellies.


Once we got in, met Jamie, and settled into the Flora room (I believe, I forgot to take a picture), with fresh coffee in my hand, we hit the ground running. We went over a lot of the basic details such as whether we have booked rooms for our stay, have we booked an officiant/cosmetology/garment pressing or steaming, etc. I am going to apologize ahead of time as I did not take nearly as many notes as I should have, so I may not remember everything or the order in which it happened. We also decided to have them budget things for if we have 100% attendance, because we'd rather over budget than under budget.


Transportation

Welcome Party :

Disney Transportation System (I’ll provide detailed instructions to our guests)

Ceremony & Reception:

2 charter motorcoaches to transport guests from our 3 block hotels to the ceremony and then to reception, guests to use Disney Transportation at end of reception.

1 way van for wedding party and vendors from resort to Epcot, possibly another 1 way van/town car to get to the reception (I don’t remember what we chose right now)

Dessert Party :

Disney Transportation System (I’ll provide detailed instructions to our guests)

Décor/Personal floral:

We have opted for no décor and the basic black chairs at this point in time. There will also be a water station. I’m making my own bouquet and the pomanders for my MOHs. Disney will be providing the boutonnieres for the groom (with a small addition from me they are going to incorporate), officiant, and groomsman. I am pretty sure I committed to making the boutonniere for my dad and a wrist corsage for my Mom.

Reception

Décor:

We were thrilled to discover that they also offered black linens as an included/basic linen, rather than just white. We chose these overlays to alternate between tables with black linens as the base:

I am hoping to use square tables, as I’m not overly a fan of the rounds. The cost doesn't seem to be too bad, so here's hoping!

These are the basic inspirations for our centerpieces. They should involve pumpkins, cylinders, ornaments, tea lights, etc.

We haven’t decided on whether we are doing a sweetheart table or a head table yet, but if we decide on a sweetheart table, there will be distinct linens, just don’t ask me what. ;)

Cake table will have no clouding and the only “decorations” will be my bouquet and my MOHs Mickey head pomanders.

We are doing assigned seating with Haunted Mansion Fast Pass themed escort cards (we will be providing these and table numbers) which will hopefully be attached to the favors as well. We are waiting to hear back from Floral if they will be able to create the favors we want. Will update as we know more.

For napkins we chose two different folds, the “Sydney Opera House” and the “Tulip”. I remember saying we wanted them alternating, I just can’t remember if we said alternating between tables with the overlays or alternating between place settings at each table.

Currently we have upgraded to the Mahogany garden chairs because the standard chairs are hideous. Hopefully we won't have to cut these for budget.

Entertainment:

We have secured DJ Miles to dj for us. Waiting to hear back if the characters we requested will be available or not, though we have back up characters we will be just as happy with. We may add a silhouette artist if we need to add something to meet minimums.


Cake:
We are planning on a 2 tier cake with small cupcakes to round out making sure there is enough for everyone. We are not planning on trying to save our top tier, mainly because we don’t want to mess with transporting it back across the country. Cupcakes: both of the above flavors and Orange cake w/ dark chocolate mousse filling

Beverages/Bar:
We are doing a custom BOC bar, since we really didn’t like any of the options Disney offers (we are alcohol snobs). Our bar includes: water, coffee, juices, sodas, Guinness, Angry Orchard, Blue Moon, house wines, mimosas, and our Signature Cocktail. We have requested to have water stations rather than having bottled water available, at least for still water.

Menu:

Dessert party


Location:
We originally chose UK Lochside, but that was before our potential guest count grew, so we are having to look at other options. Terrace des Fleurs is available, but we nixed that because it isn’t wheelchair accessible. Italy Isola West is and was one of the locations we liked initially but didn’t think we would have the guest count, but there is currently a hold on it. The current suggestion/plan would be to hold the dessert part up in the Canada Terrace and then walk down to UK Lochside to watch Illuminations. It isn’t ideal, but it’s what we’ve got to work with for the time being.

Décor:
Basic mix of high tops and cocktail tables with included black linens and chairs, no centerpieces. Possibility of a special effect for the dessert table, will have to see how it fits into the budget.

Menu:

While we really want to have this, it may need to be cut depending on the budget, especially since it doesn’t count toward the minimums and not all of our guests will be on property to enjoy it.

She’s already made some really great/fun suggestions. We have Sarah for Floral and she seems sweet and like she will help our vision come to life. It’s amazing how quickly the 4 hours went by. Once we were finished we had about an hour to get over to the Boardwalk Convention Center for our Menu Tasting. On our way out, we were able to have Jamie take our picture in front of Franck’s. <3

Yay for first class upgrades! I've got to get me access into one of those lounges, they sound pretty fantastic!

I love your planning details so far, it sounds like you have your priorities set pretty well and I totally agree with spending decor money at the reception vs the ceremony, with transportation etc. Can't wait for FOOD!!
 

Menu Tasting


We headed directly over to the Boardwalk Convention Center to meet back up with Jamie for our Menu Tasting. We ended up being late, again thanks to Disney transportation, but we made it safe and sound and excited (and hungry!). J We were introduced to our chef, Erica, the head chef, Douglas, and our server, Edgar and greeted with this cute sign.


We started with the Briar Rose menu as our base and made tweaks along the way. Some of the things we chose to taste were for our Welcome Party & Dessert Party, as well as for the reception. Because I was still feeling slightly flustered (and hungry), I forgot to take pictures of the food as it was displayed on the buffet, so you’ll have to settle for a full plate picture and pictures of the individual items. ;)

Southernmost Buttermilk Chicken and Gravy from Olivia’s Café

This was spot on delicious! The chefs prepared it using bone-in chicken parts, rather than boneless-skinless breast that is used at Olivia’s.

The pork was moist and flavorful and the fig compote was the perfect compliment. Hubby ate around the figs and enjoyed the sauce and I enjoyed both.


Tandoori & herb braised beef

This had a nice flavor, more subtle than we expected, though the meat (tenderloin cut) was a bit on the dry side. We all decided that this dish would work better with a pot roast cut of beef.


Oven roasted Yukon gold potatoes with braised fennel & parmesan

The potatoes were roasted perfectly and the flavor from the onion and fennel added a nice depth of flavor. We had been undecided between this dish and the cheesy shredded potato gratin that comes with the Briar Rose.

Soooooo good! They actually prepared it slightly thicker than what is served at Cooke’s which we like even better. The chefs also prepared housemade potato chips for us to dip in the sauce at the tasting. They were perfectly cooked and salted. The dip will be on the menu, but with sliced chunks of baguette for dipping instead of the chips.

This was rather lackluster, which was disappointing since it gets rave reviews online. It also had WAY more raisins in it than we would have thought (hubby isn’t a fan of raisins and there were so many it was kinda hard to eat around them).

For reasons unknown to us, they did not prepare these as they typically do and in this configuration the chocolate completely overpowered the caramel flavor. They were tasty, just a little too rich. Normally the caramel cookie part is much thicker so the flavors are more balanced.

I was so full at this point, but there was no way I was turning this baby down. ;) It was as delectable as we remembered. <3 They didn’t pre-crush the Froot Loops, so chunks of the cereal kept getting stuck in the straws, but that didn’t stop us from enjoying them one bit.

We received the little whisk and heart shaped cookie cutters as a gift from our chefs. :) And just like that, our Planning Session and Menu Tasting day was over! We decided on the white jacket attire for the servers, with maybe some other fun things that will lend well to our theme. ;) Had to grab this photo on our way out. :)

-egg cookery station with ham, bacon, shredded cheese, tomatoes, mushrooms, bell peppers, onions, spinach, salsa, and egg whites

-Individual No Way Jose sundaes (they are having to look into the practicality of doing these)

-Caramel sea salt ganache bars (my vote for first thing to cut if we need to reduce costs)

-Churro flambé



I’m a little nervous to see what the numbers on our BEO come in totaling, because there isn’t much I/we would want to cut. At this point, the welcome party will be the first thing to get cut (I think I said that already) if we need to make major cuts. I’ve already thought of a fun (much cheaper) alternative if it gets cut, so I’m still excited either way.


Jamie told us that we will likely get our BEO back in the 5-6 week range because she is going on vacation for a week beginning tomorrow, which puts us expecting it sometime in the first 2 weeks of July. Crossing my fingers that she is able to get it done before then, but I understand how busy she is, so I’ll have to be patient. ;)


What do you think? Does it seem like a good variety? Next update will be our post-menu tasting evening and our last day in Orlando which will include my hair and makeup trial. Ttfn!
 
Awesome updates! I've loved following along with your planning session and menu tasting updates! Especially since we just had ours too and its fun to compare and contrast our experiences. I was intrigued by that cereal milkshake when you mentioned it last time, but now that I've seen an actual picture and it, I know that I need that thing in my life ASAP. lol. Same with that cheese dip. YUM. I'm so glad that your Disney meal inspiration items turned out great (as did our chicken and waffles). I've heard in the past that their recreations aren't always up to par, but I was so impressed with ours and you seem to be thrilled with yours too! Yay!

I was going to suggest heading over to Artist Point for dessert one of these nights, but I just checked the menu and they have changed it to an orange creamsicle milkshake, gah!

I've heard in the past that their recreations aren't always up to par, but I was so impressed with ours and you seem to be thrilled with yours too! Yay!

I have heard the same thing regarding some of the recreation of park/resort dishes, so I was thrilled that they did such a fantastic job! I'm so glad yours came out tasty as well!

Likewise! It's such an exciting time! Of course, I'm super impatient, so these next few weeks of waiting for the BEO are going to kill me, lol! I think I am going to use the time to bug some of the people on our tentative invite list about their leanings on whether they are going to try and come or not. Almost no one who isn't family/wedding party has booked yet and it's driving me banana crackers! They don't understand that ~6 months really isn't too far ahead to book (and that they can cancel later if things don't work out). ;)

Remind me what your guest count is? I skimmed a back through and couldn't find it. I ask because UK lochside was originally one of my top choice too but was booked and the capacity is lower since they added tables/benches to the area. I was given French Terrace & Isola West as my options and was told with France I had to guarantee 50 people but Isola West was no problem (we have an invite list of 65 so might come under 50). So I'm confused as why you;d be too small for Isola West but big enough for terrace.

Remind me what your guest count is?

As of this morning, if we have 100% response (which I know we won't) we are looking at 94 people. DFTW is currently using 85 as our number, though I'm hoping for somewhere closer to 50-60. When we first started talking to Disney (for a 2015 event) we were looking at closer to 35-50 bodies max.

I was sooooooo mad when I saw this!!! I even took a picture to show my planner (of course she already knew about it).

I was given French Terrace & Isola West

They offered Terrace des Fleurs as an alternative, but I know that that particular location isn't wheelchair accessible, and I have a couple guests who are likely to be in wheelchairs/scooters, so we declined it. Isola West would fit our party size but is currently on hold for someone/something else, so they can't offer it to us.

So I'm confused as why you;d be too small for Isola West but big enough for terrace.

Not too small for Isola West, it just isn't available right now. With the reduced area now available at Lochside, our desire to have a fair amount of seating, and some potential special effects we are looking into, Lochside isn't feasible for our potential guest count. If we weren't adding tables/seating/food, etc, it would work for us to just stand there to watch the show, so that is why they have offered to let us have dessert in Canada and then watch the show from UK (it's a really good spot, especially for pictures). Hope this makes more sense. :)
 
Terrace de Fleurs is the upper France terrace (unless they changed the name) and that one is actually wheelchair accessible, via the ramp that is Rue de Paris/the French Island Arm location. It's Eau de France/the lower French terrace (where my DP was!) that's 100% not wheelchair accessible, because you have to take stairs from either the Terrace de Fleurs or Rue de Paris (these fancy French names are really freaking annoying.....). If that helps you at all!

I LOVE all of your locations and especially your theme!! You're so organized too! I can't wait to see how your ceremony photographs. I've never personally seen that located used and it's gorgeous!!
